Billetto offers a powerful email feature designed to help organizers effectively communicate with their fans, followers, and ticket buyers. This tool allows you to send newsletters, promotional content, and important event updates directly from your Billetto dashboard.

By using this feature, you can build a stronger community, keep your audience engaged, and increase ticket sales for your events.

How to Access the Email Feature

To access the email feature:

  1. Go to Promoter

  2. Click on Email and SMS

  3. Click + Set up new email

From here, you can create a new email campaign.

Click + Add segment to choose your audience.

Types of Emails You Can Send

Billetto offers two main types of emails to match your communication needs:

Transactional: This type of email is essential for communicating non-marketing messages to all ticket buyers of an active event. Whether it is a last-minute schedule change, venue updates, or important reminders, event notifications ensure that your attendees stay well informed.

Marketing: Keep your audience informed about your upcoming events by sending newsletters. You can send these emails to all your newsletter subscribers on Billetto or segment your messages so they are specifically targeted to fans, followers, or superfans. It is an excellent way to share upcoming events, insights, or stories to keep your audience engaged.

Re-engage previous attendees by sending them targeted communication about your upcoming events. This type of email is perfect for reaching newsletter subscribers who have previously attended specific events and helps revive their interest and boost ticket sales.

You can search within segments or choose from predefined segments such as:

  • Events

  • Gender

  • Age

  • Customer loyalty

  • Regions

  • Countries

  • Permissions

Email Editor Tools

You can personalize your emails using the editing toolbar.

From left to right:

  • Write with AI – Get AI assistance to write or improve your text

  • Image icon – Insert an image

  • Link icon – Insert or edit a link

  • B – Bold text

  • I – Italic text

  • S – Strikethrough text

  • Text alignment – Align text (left, center, etc.)

  • Bullet list – Create a bullet list

  • Numbered list – Create a numbered list

  • Paragraph format (¶) – Choose text format

  • Code (< >) – Insert or format code

  • Undo (↶) – Undo last action

  • Redo (↷) – Redo action

  • CTA Button -You can choose what the call-to-action button should link to:

  • Visit profile – Links to the organizer’s profile

  • None – Removes the CTA button


After Creating Your Email

Once you have selected your segment and created your email, you can choose:

  • Discard – Delete the draft

  • Send now – Send immediately

  • Schedule email – Schedule it for later

 

When choosing Schedule email, you must decide when it should be sent.

On this page, you have the following options:

Specific Date

Choose a specific date and time:

  • Select date (dd/mm/yyyy)

  • Select time (hours and minutes)

The email will be sent automatically at the chosen time.

You can also enable:

“Send the email to those who purchased tickets after the selected date”

If enabled, new ticket buyers will also receive the email.
You can set a final sending date, for example, 1 day before the event starts.

Welcome Email

Send an automated email before the event starts. Typically used for practical information.

In-Stay Email

Send an email while the event is ongoing.

Post-Stay Email

Send an email after the event ends. Commonly used for thank-you emails, feedback collection, or promoting upcoming events.

Choosing the right automation ensures your guests receive relevant information at the right time.

Email Status and Review

If the status shows “Pending review”, it means the Billetto team is reviewing your email before it can be sent.

This review may be necessary if the email contains links, promotional offers, or other marketing-related content.

Once approved, the email will automatically be sent or scheduled as selected.
If changes are required, you will be contacted.

Tracking Email Performance

For every email you send, Billetto provides detailed insights into its performance. You can view metrics such as delivery rates, click rates, open rates, and sales generated from each email. These insights are invaluable for understanding your audience’s engagement and refining your email marketing strategy.



Under Actions, you have two options:

  • Eye icon – View email details

  • Trash icon – Delete the campaign

 

Understand Your Monthly Email Limit

Each month, you are allocated a specific number of emails that can be sent to your Community. This limit is designed to ensure that all communication sent through our platform is effective and reaches the intended recipients efficiently.

How does it work?

Let’s say your monthly limit is 500 emails. If in one month you launch two different email campaigns:

  • A newsletter sent to 120 recipients

  • An event notification sent to 270 recipients

After these campaigns, you will have 110 emails remaining for the rest of the month.

This system ensures that every message you send counts and encourages thoughtful, targeted communication.

Why have a limit?

We strive to maintain the highest possible email reputation. By ensuring that all emails sent through our platform are legitimate, requested, and not considered spam, we maintain a healthy email ecosystem.

This commitment helps guarantee that your messages are welcomed and delivered to inboxes — not spam folders.

Need more capacity?

We understand that your communication needs may change, especially as your Community grows or during peak event seasons. If you find that you need a higher limit, we are here to help.

Important Guidelines

Billetto is committed to maintaining a respectful and consent-based communication platform.

Therefore, it is important to note that:

The email function is intended exclusively for communication with those who have given consent to receive newsletters, or if you are sending an event message, it must not contain any marketing material.

Ensure that your email communication is only directed at users who have given consent to receive marketing messages.

Billetto prohibits the use of this function for unsolicited marketing or spam.

Billetto may choose not to deliver an email.

By following these guidelines, you help create a positive and respectful environment for both organizers and participants on Billetto.
