How to find and export guest lists and reports

You can easily download guest lists and reports for your events. These reports give you an overview of your participants, orders and contact information, and they can be sent directly to your email.

You can find the section under “Guest list & reports” on your event.

Where can I find guest lists and reports?

On computer

  1. Log in to Billetto
  2. Click on My Billetto
  3. Click on Manage on the desired event
  4. Go to Overview
  5. Click on Guest list & reports
  6. Select the desired report type
  7. Enter the email address the report should be sent to
  8. Click on Send via email

You will then receive the report by email shortly after. Please note that if your event has many participants (5000+), it may take a bit longer to generate the report.

In the Billetto app

  1. Log in to the app
  2. Select the event you want to view the guest list for
  3. Click on My Billetto
  4. Click on Manage on the desired event
  5. At the top of the page click on <sales overview
  6. Click on Guest list & reports
  7. Select the desired report type
  8. Enter the email address the report should be sent to
  9. Click on Send via email

You can also view your guests’ email addresses by going to Manage orders (where you can also make refunds or Manage Tickets and resend or edit your buyers’ information).

Types of reports

Guest list (simple)

A simple report that includes:

  • Order ID
  • Name
  • Ticket ID

Suitable if you only need a quick overview.

Guest list (detailed)

The most comprehensive report, which includes:

  • Name and email
  • Order ID
  • Number of tickets
  • Participant information (e.g. answers to questions in the purchase flow)
  • Access codes and other relevant data

This report provides a full overview of your participants and sales.

Email list

A simple list with:

  • Guests’ email addresses

The file content is separated by commas and can be used for communication with your participants.

Other reports

Transaction Reports

Here you can set up email notifications about ticket sales – either for each purchase or at fixed intervals.

You can:

  • Choose frequency (e.g. daily)

  • Set start date

  •  Add one or more recipients

  •  Activate the report

  • Choose to include revenue

Once everything is set up, click “Send via email”.

Sales Report

The sales overview report provides a complete overview of all transactions for your event.

You must:

  • Select a from date and to date (optional)

  • Enter recipient email

When ready, you can:

  • Click “Send via email” to receive the report

  • Or choose “Download now” to get it immediately

Custom Report

Here you can choose what the report should contain:

  • Select report type (e.g. tickets)
  • Customize which data fields to include
  • Export in the desired format

Here you can choose what the report should contain:

  • First select a report type via the dropdown menu
  • You can choose between: Tickets, Orders, Ledger or Add-ons
  • Click on Customize to select which data fields the report should contain
  • Then export the report in the desired format

Newsletter sign up report

Includes:

  • Consent to newsletter
  • Email data

Important: When using this report, you are responsible for complying with applicable legislation.

How it works

To download a report, you must:

  • (Optional) select a date from and date to – if you do NOT select anything, all data will be included
  • Choose a file format (if relevant)
  • Enter a recipient email
  • Click on Send via email
